ACCESSIBILITY AT KUPOCON

We want KupoCon to be a welcoming and accessible experience. We provide a range of support for attendees whose disability or access needs may make standard event arrangements difficult to use. Providing information ahead of the event helps our team understand your needs and prepare appropriate support.

Venue Accessibility

Ahead of each event, our team reviews the venue’s accessibility and considers how attendees will move around and use the event spaces. Facilities and arrangements vary between venues. If you have a specific requirement, please contact us ahead of the event so we can discuss it with you.

Applying for Accessibility Support

Our Accessibility Application allows you to apply for a Carer Pass, Ring of Timely Assistance (RTA), or both in one form. You only need to provide your attendee details and supporting documents once, then complete the sections relevant to your request.

Carer Passes and RTA serve different purposes and are assessed separately. Approval for a Carer Pass does not automatically include RTA, and approval for RTA does not automatically include a Carer Pass. If you need both, please select both options and complete each section. You may be approved for one without being approved for the other.

Please apply as soon as possible after purchasing your ticket, ideally within 48 hours, to help us plan. If your needs arise later, you are still welcome to apply. Late requests will be reviewed and accommodated wherever possible. Submitting an application does not guarantee approval.

Carer Pass

A Carer Pass provides a free ticket for an essential companion whose support an attendee needs to attend KupoCon. It is intended for someone providing necessary assistance, rather than simply accompanying the attendee as a friend or guest.

We accept the following evidence of the attendee’s eligibility:

  • Nimbus Access Card displaying the +1 essential companion symbol
  • Disability Living Allowance (DLA) – Middle Rate or Higher
  • Attendance Allowance (AA)
  • Blind Persons Registration
  • Personal Independence Payment (PIP) – Enhanced Care
  • Armed Forces Independence Payment
  • Equivalent documentation in your region

If you are applying using a Nimbus Access Card, please provide your card number and upload a photograph of your card and any relevant information in the Supporting Documents section. The card must display the +1 essential companion symbol; holding a Nimbus card without this symbol does not establish eligibility for a Carer Pass. Our team will verify the evidence provided.

If you are unsure which evidence to provide or need help providing it, select the relevant option in the application and explain the assistance you need. Please only share information relevant to your application.

Standard Accessibility Support

Our general accessibility support remains available independently of RTA approval. Depending on the venue and event arrangements, this includes:

  • Save Points: Accessible reserved seating at keynotes and evening celebrations.
  • Queue Support: Staff assistance with place holding in guest queues.
  • Calm Lands: A designated quiet space for when you need a break.
  • Venue and Event Assistance: Support relating to wheelchair access, accessible vendor tables, bathrooms, lifts and moving around the event.

Please speak to our team if you need assistance during the event. Letting us know about specific requirements in advance helps us prepare.

Ring of Timely Assistance (RTA)

The Ring of Timely Assistance supports attendees whose disability or access needs make standard queueing arrangements difficult to use. This may include difficulty with prolonged standing, remaining in a physical queue, or waiting in busy and crowded environments.

RTA focuses on reducing the barriers associated with queueing and providing more manageable ways to access the event. Your application should explain the difficulties you experience, whether seating or waiting elsewhere would help, and what adjustment you need. A diagnosis alone does not tell us which arrangements will meet your needs.

RTA arrangements may include:

  • Alternative Guest Access: Assistance entering scheduled sessions and dedicated guest sessions in a less crowded setting.
  • Quieter Market Access: An opportunity to enter the market during a quieter period, helping reduce exposure to crowds and congestion.
  • Accessible Seating: Designated seating to support access needs, including opportunities to sit while waiting where available.
  • Event Support: Assistance from an RTA support volunteer with questions, activities and using event services.

RTA does not guarantee a shorter wait. A dedicated guest session may still involve waiting alongside other RTA holders. The benefit is a less crowded environment, with more seating available, rather than a promise of being served sooner. You remain welcome to use the standard event systems.

Specific arrangements, session times and instructions will be shared with approved applicants ahead of their event. Please follow those instructions and the guidance of our volunteers.

Accessibility Support and Premium Tickets

Accessibility seating is different from premium-ticket priority seating. Accessible seating is allocated to meet access needs and does not guarantee a front-row seat or a particular view.

RTA is an accessibility arrangement, not a ticket upgrade. If you are looking for priority seating or guest-access benefits as a preference, please choose the ticket that includes those advertised benefits. You do not need to purchase a premium ticket to request accessibility support.

Using Your Approved Support

Approved applicants will receive information about collecting and using their pass or RTA card. Approval applies only to the attendee and their authorised support arrangements. Passes and cards cannot be transferred to another person.

Please provide accurate information in your application. Deliberate misrepresentation or misuse may result in support being withdrawn.

Chocobo Badges

The Blue and Red Chocobo badges are no longer available. Our Yellow and Purple badges remain available as an optional way to let others know how they can help you feel comfortable and included.

  • Yellow Chocobo Badge: For anyone who feels shy or anxious and would welcome a little help joining in. It lets others know you would appreciate being included in conversations and activities.
  • Purple Chocobo Badge: For anyone with a disability, condition or other difficulty that may affect their event experience. It asks others to be patient and understanding, without you needing to explain your circumstances.

No application is required. Collect a badge from Mognet Central, pay a refundable deposit of £1 or $1, depending on the event’s currency, and wear it during the event. Return it at the end of the day to receive your deposit back.

Chocobo badges are separate from Carer Passes and the Ring of Timely Assistance (RTA). Wearing a badge does not automatically grant either; please use the Accessibility Application if you need those forms of support.
