ACCESSIBILITY AT KUPOCON

At KupoCon, we are deeply committed to curating an event experience that is not only intimate, immersive, and inclusive but also caters to the diverse needs of all attendees, ensuring that everyone leaves with positive memories. To strive towards this goal, we’ve implemented a comprehensive set of accessibility policies aimed at assisting and accommodating our attendees. In preparation for each KupoCon event, our dedicated team conducts a thorough accessibility assessment of the venue. Our primary aim is to ensure the utmost convenience and seamless experience for all attendees. While we acknowledge that there’s always room for improvement, our unwavering commitment remains at the forefront of organizing events that prioritize accessibility for everyone.

Carer Pass: We understand that some attendees may require the assistance of a caregiver. To facilitate this, KupoCon offers free passes for carers. However, in order to obtain such a pass, the individual accompanying you as your caregiver will need to present proof of eligibility under one of the following categories:

– DLA Disability Living Allowance MIDDLE RATE OR HIGHER
– AA Attendance Allowance
– Blind Persons Registration
– PIP Personal Independence Payment ENHANCED CARE
– Armed Forces Independence Payment
…or the regional equivalent as applicable.

These passes must be applied for within 2 weeks of the purchase date of your ticket. Upon approval for a carer pass, both the attendee and carer will receive automatic acceptance into the RTA system. (See below for full RTA information).

Please note that as of March 14, all ticket purchasers may fill out an optional accessibility questionnaire to help us plan accordingly. While KupoCon makes every effort to accommodate attendees, it’s far easier for us to plan with specifics to refer to.

Reserved Seating: For keynotes and evening celebrations, we provide advanced seating to accommodate individuals with specific needs. These seating arrangements are determined at the discretion of KupoCon staff. These reserved spots which we call “Save Points” are indicated by special reservation signs. We encourage attendees to reach out to us in advance to arrange for this service.

Wheelchair Accessibility: All of our event venues are regionally accredited and fully accessible to individuals with wheelchairs. Each event features designated areas for wheelchairs and other mobility devices. Our theater will have a number of Wheelchair reserved spots. We encourage you to complete the optional accessibility questions when purchasing your ticket. If you require additional assistance in this regard, please feel free to approach a member of our staff, who will be more than happy to assist you.

Accessible Tables: We recognize that the market can be a busy place, and while we naturally try to accommodate as many people as possible, we need to make sure that we have accessible tables for vendors that need them. Vendors have the ability to request an accessible table which allows for more manageable seating and maneuverability.

Consideration in Bathrooms: We kindly request that all attendees show consideration to others when using the facilities, particularly during costume changes. We ask that those with disabilities be given priority access to the accessible stalls in the bathrooms.

Elevator Etiquette: In the spirit of inclusivity, we urge all attendees to be considerate when using elevators. We kindly request that individuals with disabilities be granted first preference for elevator use, as for many, this is their sole means of traveling between floors. If you are capable of using stairs or escalators, we encourage you to do so.

Service Animals: KupoCon welcomes service animals as defined by the law. To avoid any confusion among attendees and staff, we kindly request that if you are accompanied by a service animal, you refrain from incorporating the animal into any cosplay activities.

Queue Assistance: For individuals who find it challenging to stand in queues for extended periods, our staff are readily available to assist. You can ask a member of our team to hold your place, allowing you to sit and wait until your turn. If you require occasional movement, KupoCon is more than willing to hold your position for short intervals while you take a necessary stroll. If you feel this is insufficient, please refer to our RTA pass. Details of which can be found below.

Quiet Market: KupoCon recognizes the need for a designated quiet period to accommodate attendees who require more flexibility to explore the market area without the crowds. Typically, this quiet period occurs during the final moments of the opening ceremony. Please refer to our RTA pass below if you require further assistance.

Calm Lands: We understand that events such as these can be overwhelming. Every KupoCon event will have a designated quiet spot, which we call the Calm Lands. This is a quiet and safe space for you to take a moment away from the hustle and bustle of KupoCon. You don’t require any pass to enter this space. We do ask that users keep the noise to a minimum while using this space.

Chocobo Badges: As of March 14, 2024, the Blue and Red Chocobo badges have been discontinued to simplify the system and to avoid confusion.

RTA System: RTA, which stands for Ring of Timely Assistance (inspired by Final Fantasy 16). KupoCon has implemented this system to accommodate individuals facing challenges in engaging with the event due to mental or physical health issues. If you find it difficult to navigate our current events, we encourage you to reach out to us by sending an email to [email protected] with the subject line “RTA Request.”

In your email, kindly elaborate on the specific reasons why our current system poses difficulties for you, providing us with as much information as possible.

Upon approval of your request, you will be issued a special wristband that can be presented to our volunteers. This wristband signifies that you require an alternative approach to meeting our special guests, bypassing the regular lines.

We have arranged a special session immediately following the core of the opening ceremony. During this session, you will have the opportunity to meet our special guests with minimal delay. Please note that this session is limited, as we have a significant number of attendees eager to meet the guests. While participating in this session, you may miss a few moments of the opening ceremony, so we recommend familiarizing yourself with the fundamental aspects of KupoCon in advance.
