ACCESSIBILITY AT KUPOCON

At KupoCon, we take pride in crafting an event experience that is intimate, immersive, and inclusive. We are dedicated to ensuring that all attendees, regardless of their individual needs, leave with cherished memories. To achieve this, we’ve implemented robust accessibility policies designed to provide support and accommodations. Venue Accessibility Assessments

Ahead of each KupoCon event, our team conducts a detailed accessibility evaluation of the venue. This ensures a smooth, convenient experience for all attendees. While we continually strive to improve, our commitment to accessibility remains a cornerstone of our event planning process.

Carer Pass

For attendees requiring the support of a caregiver, KupoCon offers free Carer Passes. To obtain one, the caregiver must provide proof of eligibility under one of the following:

  • Disability Living Allowance (DLA) – Middle Rate or Higher

  • Attendance Allowance (AA)

  • Blind Persons Registration

  • Personal Independence Payment (PIP) – Enhanced Care

  • Armed Forces Independence Payment

  • Or the equivalent documentation in your region

We encourage applications for Carer Passes to be submitted within 48 hours of purchasing your ticket to guarantee support. However, if you require a Carer Pass after this period, please still contact us. Late requests will always be reviewed and accommodated wherever possible. Once approved, both the attendee and their caregiver will automatically gain access to the RTA (Ring of Timely Assistance) system for additional support. (See below for RTA details.)

Accessibility Questionnaire

Starting March 14, 2024, all ticket purchasers will have the option to complete an accessibility questionnaire. This helps us better understand your needs and allows us to plan more effectively. While we strive to accommodate everyone, having specific details in advance greatly enhances our ability to prepare.

Standard Accessibility Options at KupoCon

KupoCon provides a range of standard accessibility options designed to support attendees and ensure an enjoyable experience for all. These include:

  • Carer Program: Free Carer Passes for eligible attendees requiring personal assistance.

  • Save Points: Reserved seating at keynotes and evening celebrations.

  • Queue Support: Staff assistance with place holding in guest queues.

  • Calm Lands: A designated quiet space for when you need a break.

  • Other Adjustments: Wheelchair accessibility, accessible vendor tables, bathroom/elevator considerations, and other on-site support.

RTA Pass: Enhanced Adjustments

The Ring of Timely Assistance (RTA) Pass goes beyond these standard accommodations. It is designed for attendees who may find it difficult to manage within the typical systems in place. The RTA provides additional flexibility and enhanced support, including:

  • Alternative Guest Access: Dedicated signing sessions or alternative approaches to meeting guests, avoiding regular queues where possible.

  • Market & Event Adjustments: Access to quiet shopping periods and other tailored support.

  • Additional Case-by-Case Adjustments: Based on the individual’s specific needs, as shared during the application process.

To guarantee support, applications for an RTA Pass should ideally be submitted within 48 hours of purchasing your ticket. However, we understand that needs can arise unexpectedly, and late requests will always be reviewed and accommodated wherever possible.

If approved, you’ll receive a special card that can be shown to our volunteers. This card allows you to access the enhanced adjustments outlined above.

Chocobo Badges
